Versions, rollback and delete
A document in the Archive can have more than one version. This page shows how to read the versions, go back to an older one, and delete a document.
Version history
When a document has more than one version, its row menu has Version history. Open it to see a numbered list of all versions, oldest first. Each version shows:
- the file name,
- Updated by and the time of the change,
- Download, which saves that exact version.
Click Cancel to close the list.
The Archive screen does not add versions. A version is added when the system that stores documents sends a file with the id of a document that is already in the Archive. This does not work at the moment, so a document stored today has one version, see the note in Archive API. Documents that already have several versions show them as described here.
Go back to an older version
Use Rollback when a newer version is wrong and you want an earlier one to be the current one.
- Open Version history from the row menu.
- Find the version you want to keep and click Rollback under it. The newest version has no Rollback button.
- Read the Confirm rollback dialog: “All versions of the document newer than the selected one will be deleted.”
- Click Confirm, or Cancel to keep everything as it is.
After you confirm, the list closes and the table loads again. The version you chose is now the newest version, and Download gives you that one.
Note: The newer versions are deleted for good, and so are their files. There is no way to bring them back from the Archive.
Delete a document
- Click the three dots at the end of the row.
- Choose Delete.
The document is removed at once, together with every version of it. There is no confirmation question, so check the row before you choose Delete. The table then loads again.
Delete only works on documents in folders you have access to. For a document in a folder you cannot access, nothing is removed.
